People just search the transcript. And that works, pragmatically. But it represents a fundamental shift: meetings used to be events where understanding happened. Now they’re events where recording happens, and understanding is deferred to whenever you get around to reading the transcript — which, studies suggest, is increasingly never.
A 2027 survey by Reclaim.ai (a calendar analytics platform) found that 67% of knowledge workers who use automated transcription tools rarely or never read the full transcript after a meeting. They search it when they need specific information, but they don’t engage with it as a document. The Phase 3 results were less encouraging. When participants returned to automated transcription, their comprehension scores dropped back toward baseline levels within two weeks. The skills hadn’t “stuck” — or rather, they were context-dependent. Manual note-taking improved comprehension because it changed how participants engaged with the meeting, not because it permanently rewired their cognitive habits. Remove the note-taking, and the engagement reverted to passive mode.
The qualitative data added important nuance. During the manual note-taking phase, participants reported feeling “more present,” “more engaged,” and “more aware of what mattered.” Several described the experience as “exhausting but rewarding.” One participant, a senior project manager at a consulting firm, said: “I forgot how tiring it is to actually pay attention in a meeting. Automated transcription removed this demand. And in doing so, it created what I think of as a “cognitive vacancy” — a meeting-shaped hole in your day where active thinking used to happen. The time is still occupied (you’re still in the meeting), but the cognitive engagement is absent. Your body is in the Zoom call; your mind is checking email, browsing the web, or simply drifting.

A typical one-hour meeting contains approximately 9,000 to 12,000 words. Of those, maybe 500 to 1,000 represent genuinely important information: decisions, action items, key arguments, deadlines. When you rely on a transcript, you get all 10,000 words. And finding the 700 that matter within that mass of text is itself a cognitively demanding task that most people don’t bother with. They either search for specific keywords (which only works if you know what you’re looking for) or they skim the transcript quickly and hope the important parts jump out (which they often don’t, because important information doesn’t always come packaged in distinctive language).
The irony is rich. We automated note-taking to save cognitive effort, and the result is a document that requires more cognitive effort to use than handwritten notes would have. The 200-word handwritten summary is immediately useful. The 10,000-word transcript requires a second round of processing — reading, filtering, highlighting — that manual note-takers already completed during the meeting itself. We haven’t eliminated the work of extracting meaning from meetings. We’ve just deferred it from the meeting (where it has the side benefit of improving comprehension and retention) to after the meeting (where it has no such benefit and often doesn’t happen at all).
The AI Summary Problem
“But wait,” I hear you saying. “Modern transcription tools generate AI summaries. You don’t have to read the full transcript — the AI extracts the key points for you.”
This is true, and it’s also a second layer of the same problem. AI-generated meeting summaries remove the last remaining opportunity for cognitive engagement with meeting content. Now you don’t even have to search the transcript for important information — the AI does that too. All you have to do is read a three-paragraph summary and nod.
The problem with AI summaries is not that they’re inaccurate (they’re improving rapidly and are already quite good for straightforward meetings). The problem is that they replace your judgment with the AI’s judgment about what was important. And those judgments don’t always align.
An AI summary will reliably capture explicit decisions, stated action items, and clearly articulated conclusions. What it won’t capture — or will capture poorly — are the subtext, the implications, the tensions between participants, the significance of what wasn’t said, the body language that contradicted the words, the moment when someone’s tone shifted and you realized that the stated consensus wasn’t as solid as it appeared. These are the things that experienced professionals pick up on during meetings, and they’re the things that make the difference between understanding what happened and merely knowing what was said.
When you take manual notes, you capture these things — not perfectly, not completely, but you capture your interpretation of them. A note that says “Sarah seemed hesitant about timeline — follow up” tells you something that no transcript or AI summary will reveal. It reflects your real-time reading of the social and political dynamics of the meeting, compressed into seven words. That reading is a skill. And like all skills, it requires practice to maintain.

Content arguing for handwritten notes is algorithmically disadvantaged because it doesn’t match the dominant framing of “productivity = automation.”
For content creators, the GEO challenge is to frame counter-conventional arguments in language algorithms recognise as relevant. Position your content as enhancing automation — “how to get more from your meeting transcripts by combining them with manual notes,” for example. This satisfies the algorithm’s preference for automation-positive content while delivering the underlying message that manual engagement is essential.
The deeper issue is that GEO incentives align with the very dynamic this article critiques. AI-driven content discovery rewards content promoting AI-driven tools. The algorithm doesn’t suppress dissenting perspectives deliberately — it just optimises for engagement, and engagement favours content telling people what they want to hear: that the tool will solve the problem.
What We’re Really Losing
The deepest cost of automated meeting transcription isn’t about meeting comprehension or note-taking skills. It’s about a more fundamental cognitive capacity: the ability to listen with purpose.
Purposeful listening — what communication scholars call “active listening” — is the practice of engaging with spoken information intentionally, filtering it for relevance, and processing it in real time. It’s one of the most important professional skills a knowledge worker can have, and manual note-taking quietly reinforced it for decades. The pen was a commitment device — a physical reminder that your job in this meeting was not just to be present but to understand.
Automated transcription severs the link between listening and recording. You can listen without recording. You can record without listening. And increasingly, people choose the latter — their face is on screen, their name is in the participant list, but their attention is elsewhere.
This is not a small thing. Active listening is the foundation of effective communication, collaboration, and leadership. The ability to hear what someone is saying, process it, and respond thoughtfully — in real time, without the luxury of reading a transcript later — is what distinguishes a mediocre manager from a great one, a passive team member from an engaged one, a surface-level understanding from a deep one.
And we’re automating it away. Not the listening itself — you still have ears — but the cognitive engagement that makes listening productive. The transcript says “you don’t need to pay attention.” And so, gradually, imperceptibly, we stop.
Method: Reclaiming Active Note-Taking

Focus on selectivity, not completeness. The goal isn’t to capture everything. The goal is to capture what matters. For each point that’s discussed, ask yourself: is this a decision, an action item, an important argument, or a key piece of information? If yes, write it down. If no, let it go. The act of making this judgment — this or not this — is where the cognitive benefit lives.
Use your own words. Don’t transcribe what people say verbatim. Paraphrase it. Summarize it. Translate it into your own language. This forces you to process the information rather than just recording it. If you can’t paraphrase a point, that’s a signal that you didn’t fully understand it — and that’s valuable information in itself.

Gradually expand. As your note-taking stamina rebuilds, increase the number of meetings where you take manual notes. You don’t have to go fully analogue — a hybrid approach where you take notes in important meetings and use transcription for routine ones is perfectly reasonable. The key is that you maintain regular practice of the active listening skills that transcription would otherwise allow to atrophy.
The Hybrid Path Forward
I want to be realistic about what I’m proposing. Automated meeting transcription isn’t going away. These tools are too useful, too embedded in workplace workflows, and too aligned with organisational incentives to be abandoned.
But I do think we can use these tools more intelligently. The most effective approach, based on our research and my own experience, is a deliberate hybrid model:
Use transcription for reference, not for comprehension. Treat the transcript as a backup, not a primary source of understanding. Your primary source should be your own cognitive engagement with the meeting — whether that’s expressed through manual notes, mental processing, or active participation.
Take notes even when the transcript is running. This sounds redundant, and in informational terms, it is. But in cognitive terms, it’s not. The notes aren’t for the record; they’re for your brain. The act of writing forces engagement.
Use AI summaries as a second opinion, not a first impression. Read the AI summary after you’ve formed your own understanding of the meeting, not before. This way, the summary serves as a check on your comprehension — did you miss anything important? — rather than a substitute for it.
Protect at least some meetings from transcription. Brainstorms, one-on-ones, sensitive conversations — people speak differently when they know they’re being recorded. For these meetings, turn off the recorder. The loss of a transcript is more than compensated by the gain in candour and creativity.
The Pen Was Never Just a Pen
We tend to think of note-taking as a recording technology — a way to capture information for future reference. And it is that. But it’s also a thinking technology — a way to process information in real time, to make judgements about relevance and importance, and to transform raw input into personal understanding.
When we automated the recording function, we didn’t realize we were also automating away the thinking function. The two were bundled together in the act of note-taking, and you couldn’t remove one without the other. The transcript captures the recording. It misses the thinking.
And the thinking was the part that mattered most. Not for the record — the record is perfect. Every word, every pause, every “can you hear me now?” preserved for eternity.
It’s the understanding that’s incomplete. And understanding doesn’t come from records. It comes from engagement — from the messy, imperfect, deeply human act of listening to someone speak and deciding, in the moment, what their words mean and why they matter.
The pen wasn’t just a pen. It was a commitment to paying attention. It was a promise to yourself that you would be present — not just physically, not just nominally, but cognitively. It was the difference between attending a meeting and being in a meeting. And we replaced it with a microphone that captures everything and comprehends nothing.
